The Departure Assurance Protocol: Why Documentation Changes Everything

Kevin Zhao·2026-04-12

Timestamped condition reports before and after every service. How Empire's proprietary documentation system protects operators, builds trust, and creates accountability.

01

The Problem with Undocumented Detailing

Most aircraft detailing services operate on trust: you hand over the keys, they clean the aircraft, you pay the invoice. But what happens when a scratch appears on the belly that wasn't there before? Or when an owner notices a mark on the leather that may or may not be new? Without documentation, there's no way to establish accountability — and that ambiguity creates friction between operators, owners, and service providers.

02

How the Departure Assurance Protocol Works

Empire's Departure Assurance Protocol establishes a documented chain of condition for every service visit. Before work begins, we perform a walkaround inspection and photograph the aircraft's current condition — noting any pre-existing damage, wear patterns, or areas of concern. All photos are timestamped. After service completion, we repeat the process, documenting the finished condition of every area we serviced. The complete report is delivered to the owner or operator within 24 hours.

03

What the Report Includes

Each Departure Assurance Report contains: timestamped pre-service condition photos, notation of any pre-existing damage or wear, detailed service summary listing every procedure performed, timestamped post-service condition photos, technician notes on any areas requiring attention, and recommendations for future service. For maintenance program clients, reports are archived and accessible for the life of the program.

04

Benefits for Aircraft Management Companies

For companies managing aircraft on behalf of owners, the Departure Assurance Protocol provides verified service documentation that can be shared directly with aircraft owners. This transparency builds trust, reduces disputes, and demonstrates professional maintenance standards. Reports can be formatted and delivered to match your company's documentation requirements.

05

Building Case Study Content

An additional benefit of systematic documentation: over time, Departure Assurance Reports create a visual history of your aircraft's condition and care. This documentation can support resale value by demonstrating consistent professional maintenance, and it provides Empire with the data to continuously improve our processes and identify trends in aircraft wear patterns.
